October 5, 2006: New Procedure to Unzip the ".TAR" Medicaid remittance files.

 

Effective October 9, 2006, Cycle 1520, CSC is planning to implement a modification for remittance and supplemental file delivery to eXchange users. Your 835s, 820s and Supplemental files will appear as a single file with a new file extension of ".TAR."

The ".TAR" file actually contains both your "Paid and Denied" file and your "Pended" ("Supplementary") file. You will need to "unzip" the ".TAR" file to extract these files.

To use the new ".TAR" files follow the following procedure:

Steps 1, 2 and 3 are for set-up and only need to be done 1 time.

Step 1. (You only need to do this once.) Set folder option NOT to "Hide Extensions for known file types" as follows:

On your desktop double-click on My Computer.

Click on Tools and select Folder Options.

Click on the tab labeled View.

Make sure that "G Hide extensions for known file types" is NOT checked.

Click OK.

Step 2. (You will need to do this once.) Create a shortcut on your Desktop to your Medicaid remittance directory.

On your Desktop click on My Computer and find your Medicaid remittances directory,  e.g., r:\rhs\volb\Cash CASHXXXX or WORKLIB)

As shown below right-click on the Cash directory, select Send To and then click on Desktop (create shortcut).

Step 3. (You only need to do this once.) If you do not have an unzip program purchase WinZip by going to www.winzip.com.

Click on Buy Now.

Under Quantity and alongside WinZip 10.0 Standard Single-User License type 1.

Toward the bottom of the screen click on Checkout and complete your $29.95 purchase.

Load and install the WinZip product.

END Set-up



Step 4. Log-on to eXchange.

Go to www.eMedNY.org , and click on Login eXchange to log on.

Step 5. Load the Supplemental "Pended" file.

In the 'Inbox' locate the current Supplemental file, i.e., the one that ends with "835S.TAR":

Click on the "835S.tar" file and the following screen appears:

Click on Open. (If the word Open does not appear go to step 3 to purchase WinZip.)

The following screen appears:

Click on Extract.

At Extract to specify the appropriate directory (i.e., the same one you have been using for Medicaid remittances until now, e.g., r:\rhs\volb\CASH, CASHXXXX or WORKLIB).

Click on Extract.

Wait for the download to complete.

Step 6. Rename the Supplemental file.

Click on the Shortcut to Cash icon on your Desktop created by step 2.

Locate the Supplemental file you just loaded. It should look something like the following:

Right-click on the "Supplemental" file and select "Rename" to rename the file SYYMMDD.dat (where YY is the year, MM is the month and DD is the day of the date associated file.)

Step 7. In CHARTS run programs SUPL835 and RBRECEPT as before.



Step 8. Load the Paid and Denied file.

In the 'Inbox' locate the current Paid and Denied file, i.e., the one that ends with "835-.TAR":

Click on the "835-.tar" file and the following screen appears:

Click on Open. (If the word Open does not appear go to step 3 to purchase WinZip.)

The following screen appears:

Click on extract

At Extract to specify the appropriate directory (i.e., the same one you have been using for Medicaid remittances until now, e.g., r:\rhs\volb\CASH, CASHXXXX or WORKLIB).

Click on Extract.

Wait for the download to complete.

Step 9. Rename the Paid and Denied file.

Click on the Shortcut to Cash icon on your desktop created by step 2.

Locate the Paid and Denied file you just loaded. It should look something like the following:

Right-click on the Paid and Denied file and select "Rename" to rename the file PYYMMDD.dat (where YY is the year, MM is the month and DD is the day of the date associated file.)

Step 10. In CHARTS run programs HCRMA835 and RBRECEPT as before.
